How appointments, payment and your personal information are handled at Mia Thomas Aesthetics.

Booking, deposits and cancellations

A $100 deposit is required to secure every appointment. It is credited against the cost of your treatment on the day.

Unplanned events happen, and appointments sometimes need to be moved. If that happens, please give at least 48 hours' notice so the time can be offered to someone else. Your deposit moves with you to the new appointment.

Where an appointment is cancelled or changed with less than 48 hours' notice, or where an appointment is missed, the $100 deposit is forfeited.

To cancel or reschedule, use the link in your booking confirmation, or contact the clinic by phone or WhatsApp.

Results and refunds

Every reasonable effort is made to work toward the outcome discussed at your consultation. No guarantee is offered as to the effect of any procedure, and individual responses vary.

Refunds are not offered on treatments that have already been performed, including where an injectable product has been administered, except where a refund is required under the Australian Consumer Law. Nothing in this policy limits your rights under that law.

Payment

Payment is taken at the end of your appointment. The clinic accepts:

  • All major credit and debit cards
  • Cash
  • Zip Pay
  • Bitcoin, via the Lightning Network

Gift vouchers may be purchased online and redeemed against any treatment.

Who can be treated

Cosmetic injectable treatments are provided to patients aged 18 and over only. Proof of age may be requested.

Suitability for any treatment is assessed individually at consultation, and treatment is not provided where it is not clinically appropriate.

Feedback and concerns

If something about your care has not met your expectations, please raise it directly — most concerns are resolved quickly in a conversation, and feedback is genuinely useful.

If a concern is not resolved to your satisfaction, you are entitled to raise it with the Health Care Complaints Commission in New South Wales, or with the Australian Health Practitioner Regulation Agency. Doing so does not affect your care.

Privacy and your personal information

What is collected

To provide care safely, the clinic collects your name, contact details, date of birth, medical history, current medications and allergies, details of previous treatments, treatment records, clinical photographs where you have consented to them, and payment records.

Some of this is health information, which receives a higher level of protection under Australian privacy law.

Why it is collected

To assess your suitability for treatment, to provide and record your care, to contact you about your appointments, to meet professional record-keeping obligations, and to comply with legal requirements.

How it is stored

Records are held in secure, access-controlled systems. Clinical records are retained for the period required of health practitioners in New South Wales — generally seven years from your last appointment, or until a patient who was a minor turns 25.

Who it is shared with

Your information is not sold, and is not used for advertising. It may be shared with your treating doctor or another practitioner where this is necessary for your care and you have agreed; with a prescriber where a prescription-only medicine is involved; with service providers who operate the booking, payment and records systems used by the clinic; and where disclosure is required or authorised by law.

The enquiry form on this website

Messages sent through the enquiry form are transmitted by a third-party form service and delivered to the clinic by email. Please do not include clinical or sensitive medical detail in that form. Anything clinical is discussed at your consultation, or by phone if that is more convenient.

Photographs

Clinical photographs are taken only with your agreement and are part of your record. They are never used for advertising, social media or any other public purpose unless you have given separate, specific, written consent for that use — and that consent can be withdrawn at any time.

Access, correction and complaints

You may ask to see the personal information held about you, and to have anything inaccurate corrected. Requests can be made by email or in person, and are responded to within a reasonable period.

If you are concerned about how your information has been handled, raise it with the clinic first. If it is not resolved, you may complain to the Office of the Australian Information Commissioner, or to the NSW Information and Privacy Commission.
